Position: Administrative Assistant/Teacher’s Assistant, Early Learning Center

Reports to: Director, ELC

Status: Temporary through June 30, 2014

General Description:

The Administrative Assistant is responsible for all administrative functions for Early Learning Center, including:

  • Maintaining student, staff, and facility records for licensing
  • Creating and maintaining confidential records for office
  • Maintaining sign-in sheets for entire program (Rainbow Leaders, AM Group, PM Group, Summer Camp)
  • Creating and editing documents, correspondence, databases, and reports
  • Addressing parent inquiries; problem-solving and coordination with teaching staff and director
  • Receiving payments for tuition, summer camp, and lunch bunch and delivering them to the University Business Office
  • Organizing school tours, preparing visitor paperwork, providing information to new families and interested parents
  • Ordering office supplies and maintaining supply inventory
  • Submitting changes and updates to University Webmaster for school website
  • Reserving space for ELC events at Ralston Hall; assisting with event planning and coordination
  • Delivering and picking up mail from Mail Room; delivering and picking up special copy and print jobs from Mail Room

This position also includes Teacher’s Assistant duties, including:

  • Coordinating and supervising lunch program for 20 to 30 students each day
  • Relieving teachers on breaks throughout the day
  • Acting as a substitute teacher to cover for staff absences
  • Providing supervision in the classroom and playground
  • Preparing, setting out, and cleaning up snacks for over 40 students, twice daily
  • Greeting arriving students in the morning and dismissing them in the afternoon

Qualifications:

  • Experience working in an administrative support role, possessing general office skills
  • Computer skills using MS Office
  • Use of EX to retrieve information
  • Good writing and spelling
  • Communicate well, both verbally and in writing, and ability to work well with others
  • Work independently and take initiative
  • Efficient organizational skills
  • Ability to interact with the director, teachers, parents and pre-school students
  • Prioritize and multi-task, with attention to detail
  • High school Diploma with some college level course work completed
