Position: Financial Aid Counselor/Loan Cordinator

Reports to:  Director of Financial Aid

Status:  Full-time, 12 Month, Permanent, Exempt

General Description:  Work as a member of a three counselor team to process aid applications, assist in reconciliation, explain financial aid policies and processes to students and parents and other University staff.  This position also has primary responsibility for loan processing for the Stafford, PLUS, Grad PLUS and TEACH programs.

Responsibilities:

  • Has primary information, counseling, need analysis, packaging, verification, reporting, satisfactory progress monitoring, and reconciliation responsibilities for students with last names H-O.
  • Coordinates all loan processing through PowerFaids, Commonline, and ELM and loads disbursement rosters and audits loan disbursements through the Jenzabar EX FAM system.
  • Generates reports necessary for program management
  • Certifies and coordinates the Private loan programs
  • Organizes and oversees entrance and exit counseling sessions
  • Makes presentations to appropriate audiences specific to areas of responsibilities
  • Develops default prevention and debt management activities for students
  • Provides consumer information materials related to loan activities and borrowing

Qualifications:

The successful candidate will have a bachelor’s degree or a minimum of 3 years of financial aid experience in a position with  responsibility for processing aid and providing quality customer service.  She/he must enjoy multitasking in a fast-paced work environment and functioning as a contributing member of the enrollment team.  Additionally she/he must have a demonstrated ability to establish priorities, suggest enhancements, and work independently with a minimum of supervision.  Excellent organization, communication and interpersonal skills are a must.  Knowledge of Jenzabar or other FAMS and PowerFaids preferred.

Position: Groundskeeper

REPORTS TO: Director of Facilities

STATUS: Full Time-Non-Exempt

GENERAL DESCRIPTION:

The NDNU Grounds Department objective is to maintain an aesthetically pleasing campus while making the grounds more labor efficient.

Groundskeepers work traditional "green industry" and Notre Dame de Namur University Grounds Department duty hours from 7:00 a.m. to 3:30 p.m. Monday through Friday with two fifteen minute coffee breaks, usually at 9:30 a.m. and 2:00 p.m., plus a half hour for lunch each day, usually at 11:45.  Due to staff shortages, the needs of the landscape may restrict vacations during the growing season.

SPECIFIC RESPONSIBILITIES/DUTIES:

1)  Horticulture: Maintain healthy and attractive plants in specific geographic area as a primary responsibility.

Patrol assigned area of campus daily to review horticultural needs.

Water plant material appropriately to ensure healthy vegetation and to conserve water..

Prune plants to fulfill agreed upon objectives.

Control weeds.

Cut and spray weeds on hillsides, as a team, to maintain firebreaks.

Maintain lawns - mow, water, aerate, fertilize.

Cut and remove dead or fallen trees.

Chip woody plant material into usable mulch.

·Renovate landscaping, as needed, for optimum efficiency and aesthetics.

2)  Irrigation:  Repair, maintain and upgrade irrigation systems to ensure effectiveness.

Install and repair irrigations systems.

Document annual preventive maintenance review of all irrigation systems.

Convert to water-saving irrigation systems.

Automate systems where possible.

3)  Pest Control: Control horticultural pests to ensure healthy vegetation.

Identify pests.

Maintain Qualified Applicator Certificate by earning twenty hours of continuing education every     two years.

Use Integrated Pest Management to minimize the use of chemicals.

Spray lawns, shrubs, trees and weeds, as needed, with California approved chemicals in compliance with California Department of Pesticide Regulation.

Practice personal safety.

4)  Machinery: Operate and maintain horticultural tools and machinery.

· Operate tractors, hedgers, mowers, string trimmers, etc. in compliance with manufacturer's and     NDNU's safety standards.

· Perform documented preventive maintenance of equipment.

·  Make minor repairs on equipment.

5) Other

·  Patrol assigned area of campus daily picking up litter and debris.

·  Report damage or problems.

·  Clean fountains, fill, and maintain required level of chlorination.

·  Maintain storm drains prior to and during rainy season.

   Assist in Athletic Field  maintenance and preparations

·  Purchase supplies.   

·  Attend professional seminars, classes, and tradeshows, as appropriate, to keep up with the latest     knowledge in the "green" industry and to obtain required pesticide training.

· Assist with other projects as requested by   Lead GroundsKeeper and/or Director of Facilities.

QUALIFICATIONS:

 Minimum qualifications include:

·  Two years professional experience in landscape maintenance

·  Associate degree in ornamental horticulture or equivalent experience and other training

·  Respect for our historic and contemporary landscape

· Current Qualified Applicator Certificate issued by the California Department of PesticideRegulation or the ability to obtain one within six months

·Valid California driver's license

·Commitment to the values of our Mission Statement.

Position: Head Women's Volleyball Coach

Reports to :Director of Athletics

Status: Part-Time, Exempt (12 Months/year)

Supervises: Assistant Coaches in same sport and Student Workers

General Description:
Responsible for fielding and administering an intercollegiate women’s volleyball team in compliance with NAIA, Conference, University and Athletic Department regulations. 

Specific Responsibilities/Duties:

1. Practice / Competition – Organize and administer appropriate pre-season, in season and post season instructional activities necessary to develop and maintain a quality team.

  • Recommend and develop a competitive contest schedule.   Submit written request for facilities needed for practice and competition.
  • Organize and conduct team instructional activities to include practices, scheduled contests and effective year-round conditioning..
  • Set up home contests.  Meet with the Director of Athletics on a regular basis to coordinate this process.
  • File both in and out of season practice schedule with the Director of Athletics.

2. Recruitment – Recruit and assess the talent of prospective student-athletes.

  • Establish a full and competitive team.
  • Work closely with the Office of Admission in the recruitment of qualified student-athletes to field a competitive team.
  • Organize both on campus visits and make arrangements for off campus recruitment activities to attract quality student-athletes.

3. Compliance – Comply with all internal policy and external regulations.

  • Monitor academic progress of team members.
  • Adhere to department, University, Conference and NAIA rules and regulations.
  • Be familiar with and adhere to procedures set forth in the NDNU Staff Manual.
  • Initiate and maintain communications with prospective student – athletes according to NAIA recruiting/eligibility regulations.

4. Budget Development – Participate in the development of the programs operating budget.

  • Make recommendations for team budget including uniforms, equipment and team travel.
  • Ensure requested expenditures adhere to approved team budget.

5. Records Management – Responsible for keeping team records related to statistics, completion of required forms by student-athletes, maintaining participation and award records and other areas as necessary.

6.Staffing – Arrange for the hiring of assistant coaching staff and home game management staff, supervising their performance.

7. Inventory/Facilities – Responsible for proper use and care of inventory and facilities.

  • Arrange for retrieval of laundered team uniforms.
  • Maintain control of equipment and uniform inventory
  • Bring to the attention of the Director of Athletics inadequate or unsafe conditions.

8. Public Relations/Communication – Represent team to the public.

  • Attend all NDNU Athletics Department meetings and conference coach’s meetings.
  • Coordinate the reporting of game results to local newspapers in conjunction with the Sports Information Director.

9. Other Duties – Perform other duties related to the Athletics program as assigned.

Qualifications:

  • Bachelors degree preferred.
  • Physical Education degree preferred.
  • College coaching experience preferred.
  • Excellent verbal and written communication skills.
  • Excellent organization and interpersonal skills.
  • Certification in cardiopulmonary resuscitation and first aid.
  • Class B driver’s license.

Position: Provost

REPORTS TO:   President

STATUS:  Full-Time, Exempt (12 Months/year)

SUPERVISES:  Three Academic Deans, Associate Provost for Student Life and Dean of Students, the Library Director, the Registrar, and an Executive Administrative Assistant.

GENERAL DESCRIPTION:

The Provost, who reports to the President of the University, organizes, monitors, and coordinates all dimensions of the academic program (the curriculum, educational policies, academic budget, and all academic personnel) in consultation with the President, Deans, and Faculty; all dimensions of the Student Life program in consultation with the Associate Provost for Student Life; and integration of the curricular and co-curricular programs.

SPECIFIC RESPONSIBILITIES:

1)  Provide academic leadership for the University

  • Update and monitor implementation of the University’s Academic Plan
  • Monitor achievement of academic area key performance indicators
  • Monitor the continuing assessment of student learning outcomes, the ongoing cycle of academic program review, and the enhancement of the curriculum in response to assessment and program review findings
  • Ensure the maintenance of regional accreditation in good standing
  • Support the mission, vision, values of the University, and the hallmarks of the Sisters of Notre Dame de Namur

 2)  Provide management leadership in the academic arena

  • Understand and monitor the job responsibilities of all administrators who report directly to the Office of the Provost.
  • Meet regularly with all administrators individually and as a team to ensure individual accountability and improve collaborative processes
  • Supervise and monitor the quality of the hiring of all full-time and part-time faculty
  • Work directly with other senior administrators for a matrix management of activities, programs, and services that overlap divisional areas.
  • Oversee an- integrated registration function and integrated academic support functions.
  • Provide leadership demonstrating and fostering a commitment to shared governance
  • Represent the University for the President in her absence.
  • Meet regularly with the President of the Faculty Senate
  • Develop and monitor external grants for academic programs.
  • Serve as institutional liaison to WASC
  • Serve as administrative liaison to the Academic Affairs Committee of the Board of Trustees
  • Encourage and facilitate community engagement and community-based learning
  • Ensure active collaboration among academic and Student Affairs efforts

3) Provide management leadership for Student Life 

  • Provide Leadership and consult with the Associate Provost to facilitate a comprehensive student life program
  • Works with the Associate Provost to establish priorities for the development of Student Life’s strategic,  budgetary and operational plans to encourage excellence;
  • Provide leadership demonstrating and fostering a commitment to successful programmatic experience with diversity programs
  • Encourage and facilitate community engagement and community-based learning
  • Oversee development of co-curricular planning and programs
  • Ensure active collaboration among academic and Student Affairs efforts

4) Oversee the financial affairs of the Provost’s area

  • Develop and supervise annual budgets for academic and student affairs areas, programs, and service

QUALIFICATIONS:

  • Ph.D. or equivalent.
  • Prior experience as an academic dean or chief academic officer
  • Strong experience with liberal arts and professional programs at undergraduate and graduate student level 
  • Full-time college or university teaching experience
  • Evidence of successful involvement with student services on a residential university campus
  • Evidence of successful educational program development and assessment
  • Significant employment at one or more institutions of higher learning, and preferably at a small-to-mid-size independent college or university

Position: Student Conduct Coordinator

REPORTS TO:      Director of Housing & Residence Life
DEPARTMENT:         Student Affairs
STATUS: Full-time, Exempt
 

GENERAL DESCRIPTION

The office of the Dean of Students administers the campus’ student judicial system and serves as a resource center for students and other members of the university community.  The Student Conduct Coordinator is responsible for the overall administration of the college’s judicial system including preventative education programming and facilitation of various aspects of the judicial process.  The Student Conduct Coordinator examines evidence when an incident has occurred, interviews all parties in the case and determines if a violation of the Code of Student Conduct has occurred. The Student Conduct Coordinator may assign sanctions, or the case may go to a judicial board. This position provides support to students, staff and faculty in solving behavioral matters within the college both inside and outside of the classroom; instructs students in appropriate behaviors for successful outcomes in managing conflict

  RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

  • Coordinates and processes residence hall student conduct referrals
  • Supervises the Student Conduct Board process, oversees the administration of hearings, conducts disciplinary conferences and determines sanctions
  • Has working knowledge of university policies, procedures, systems, Federal and state laws, general knowledge of campus organizational structure and academic/administrative decision-making process
  •  Assesses timelines, coordinates various assignments and projects concurrently, while meeting deadlines
  • Composes, proofreads and edits communications using correct grammar, spelling, and punctuation
  • Investigates reports generated by Public Safety
  • Develops and presents seminars/workshops for members of the college community regarding the Student Code of Conduct, Academic Integrity, New Student Orientation as well as other workshops as deemed necessary
  • Maintains and tracks all disciplinary cases, conducts investigations and ensures that sanctions are properly implemented
  • Provides ongoing outreach, training and education for students involved in student conduct matters involving alcoholic beverage violations, including providing administrative oversight to all alcohol education classes
  • Develops and implements late night programming
  • Performs other duties and projects as assigned by the Director, Housing & Residence Life, Dean of Students

QUALIFICATIONS:

  • Bachelors degree required, Master’s degree in higher education administration, college student personnel, counseling or advising preferred.
  • Minimum of 2 years experience with student conduct  programs and students affairs  
  • Excellent organizational, verbal and written communication, interpersonal skills and attention to detail
  • A commitment to fairness and student development
  • Demonstrated technical literacy including database management skills
  • Ability to perform statistical analysis
  • Experience investigating and adjudicating resident student conduct cases (non-academic) and academic cases
  • Strong ability to work and interact with staff (departmentally and interdepartmentally), students, administrators and faculty
  • Knowledge of college student development and student leadership models
  • Experience working with a diverse and multicultural population
  • Demonstrated understanding of and commitment to NDNU’s mission statement and the core values of social justice, global peace, multiculturalism and diversity, community service and institutional excellence
  • Ability to foster and promote an integrated team approach
  • Ability to  maintain equanimity and decorum  in face of resistance or hostility
  • Ability to diplomatically handle difficult or urgent matters in a confident and proficient manner
  • Training in mediation practices is a plus for this position
  • Have thorough knowledge of applicable laws and regulations regarding student discipline, student records, victim’s rights and the adjudication of sexual harassment and sexual assault cases

Position: Graduate Assistant for Dean of Students

Reports to: Dean of Students; Director of Housing and Residence Life

Status: Part-time

General Description:
A part-time position responsible for assisting the Dean of Students and Director of HRL with the implementation of the student conduct system and alcohol education program. 

Specific Responsibilities/Duties:

1. Student Development

  • Assist in implementing and monitoring alcohol education initiative, including the monitoring of AlcoholEdu for College course completion.
  • Coordinate and collaborate with Campus Life departments to provide programming.

2. Student Conduct/ Counseling/Advising:

  • Assist with the daily operations of the Student Conduct system which includes database and file maintenance, case assignment, tracking and developing student sanctions, correspondence, and conducting hearings.
  • Advise and assess students and make appropriate referrals when necessary.
  • Assist with the coordination and training of the Student Conduct Board.
  • Maintain confidentiality and FERPA standards.

3. Administration:

  • Share Senior Staff on-call responsibilities for the purpose of on-site emergency/crisis response.
  • As a member of the Campus Life Team, assist in the program development for RA Training, and New Student Orientation.
  • Perform other duties or projects as assigned by theDean of Students and Director of Housing and Residence Life.

Qualifications:

  • Must be an admitted Graduate Student matriculating in a program at Notre Dame de Namur University.
  • Bachelor’s degree required.
  • Experience and ability to work effectively with students, faculty, staff, administrators and parents.
  • Excellent oral and written communication skills.
  • Basic working knowledge of Microsoft office and the internet.
  • High level of attention to detail.
